To make the reimbursement process as quick as possible, please keep in mind a few important things:
- All reimbursements are subject to the host's approval. Please talk with your host before making any resservations.
- There are some restrictions on payments to individuals who are neither citizens nor permanent residents of the United States. For more information, please visit Yale policies and procedures 3415.
- You may book your own travel or contact our Administrative Assistant Tatianna Curtis for assistance.
- If you are arriving by plane, please book economy class. In accordance with the Fly America Act: U.S. air carriers are required for all federal grant funded trips. There are some exceptions to this rule. Please fill out this Form 3301 FR.06 if any exceptions apply to your case (please note that these exceptions don't apply to trips funded by the U.S. Department of Defense). If you are arriving by train, please book coach class. If you are travelling by car, we will reimburse you the mileage which covers fuel costs. Car rental insurance for domestic travel will not be reimbursed. Fuel expenses are reimbursable only in relation to car rental expenses. Non-reimbursable expenses: In-room movies, "no-show" charges of hotel and car service, personal parking tickets or traffic violations, upgrades (air, hotel, car, train, etc). Travelers should choose a reasonably priced hotel with a single occupancy rate. - Submit all ORIGINAL receipts along with completed travel reimbursement form to Tatianna Curtis upon completion of trip
- Receipts can be scanned and emailed to Tatianna Curtis .
- Include all itemized receipts displaying proof of payment >>> last four digits of credit card present on receipt.
- Copy of passport ID page, visa stamp, date entry stamp
- Copy of Form I-94 Arrival/Departure record; MUST be copied while in U.S.
- Completed W-8BEN and International Information Form (IIF) submitted with your payment request.
For timely reimbursements, please submit receipts as soon as possible.
